**Job description**: **Specific responsibilities**: - Administration and control of all office issues. - Support to the local accountant. - Support to the provider of payroll payments. - Support to Finance, IT, HR and Facilities. - Receipt and sending of invoices. - Receiving employee expenses and shipping logistics to the local accountant. - Management of corporate American Express cards. - Management of cellular equipment delivery and contract renewal. - Management and control of suppliers. - Office catering. - Support in reform projects and / or removals that are scheduled in the office (Facilities). - **Responsibilities Sales Management**: - Assistance to the general direction of Sales - Purchase of plane tickets and hotel reservation. - Logistical support to Sales - Logistical support in events and commercial visits in the region. - Purchase of plane tickets and hotel reservations for clients and / or presenters at events. - Support and presentation of the weekly Sales Forecast - Power bi management. - **Finances**: - Sending invoices from the office and suppliers to the finance team and local accountant for payment scheduling. - Creation of suppliers and purchase orders in Coupa and approval monitoring. - Application for approval and payment scheduling for policies. - Management of minor cash and PCard. monthly expense report. - Control of payment compliance. - Logistics for sending invoices and bank documents. - Documentation control. - Logistics and control of payment of invoices for customer requirements. - Support in communication to employees. - Preparation of monthly reports of invoices. - **RRHH**: - Support in hiring and liquidation of employees. - Control of disabilities. - Communication to employees. - Control of CONFIDENTIAL information documents of employees. - Generate civil protection and welfare plan for the office. - Administration and support of the occupational health and safety management system. - Attend coexistence committee meetings and Copasst. (Monthly meetings) - **IT**: - Support in the delivery of computers and mobiles to new employees. - Reception and inventory of technological equipment for employees in the region. - Report teams when an employee is discharged so that IT processes are followed. - Online support in the configuration of new equipment. - Follow-up and support for change of cellular equipment. - Inform IT staff when problems occur with the office network or employee computers. - Report to the cell phone provider when there is a technical problem. - Support (when necessary) in the realization of purchase orders for large projects. - **LEGAL**: - Make annual purchase orders for legal services in the region. - Create local Legal providers, as requested by the legal representative. - Logistical support to the area in any eventual requirement that arises. - Control with the insurance payment, check that they are current and paid. - Support in updating Genesys data as a supplier with clients and partners. - FACILITIES - Control office supplies expenses. - Inventory and marking of office assets. - Logistical support to the area in any eventual requirement that arises. - Control with payment to suppliers, check that they are updated and paid. - Fire extinguisher maintenance control. - Plant maintenance. - Preparation of budget reports. **Covid-19**: Safety for our employees and our communities is a key priority for Genesys.
