Our team is small but mighty, and we’re looking for a dedicated Client Care Manager to join us and ensure our clients feel supported every step of the way. **Position Summary**: The Client Care Manager plays a pivotal role in creating a welcoming and supportive experience for our clients. This role combines receptionist duties, client intake, relationship management, basic document handling, and sales. As the first point of contact for our clients, you will set the tone for their journey with us, ensuring their needs are met with professionalism, empathy, and efficiency. **Key Responsibilities**: - **Receptionist Duties**: - Schedule appointments and manage the attorney’s calendar. - Provide general information about the firm’s services to potential clients. - Ensure all communications are logged and tracked accurately. - **Calendaring and Scheduling Support**: - Monitor and manage deadlines for client cases, ensuring no important dates are missed. - Organize and maintain the attorney's schedule to optimize workflow and productivity. - Coordinate with clients and other parties to arrange meetings and follow-ups as needed. - **Client Intake**: - Conduct initial client interviews to gather essential information and assess their needs. - Guide potential clients through the onboarding process, including explaining required documentation and next steps. - Maintain a high level of discretion and confidentiality in handling sensitive client information. - **Client Relationship Management**: - Serve as the primary point of contact for client inquiries, updates, and follow-ups. - Ensure clients are kept informed about their case status and deadlines. - Address client concerns and escalate issues to the attorney when necessary. - Foster a positive and empathetic relationship with clients to ensure their satisfaction and trust in the firm. - **Basic Document Management**: - Assist clients in uploading documents that are in the correct technical format and legible, ensuring they meet the firm’s requirements. - Ensure all client records are accurate, up-to-date, and compliant with confidentiality standards. - **Sales and Business Development**: - Engage with potential clients to understand their needs and explain how the firm can assist them. - Follow up with leads and inquiries to convert them into active clients. - Collaborate with the attorney to identify opportunities for additional services that could benefit existing clients. - Maintain a professional and persuasive approach to showcase the value of the firm's services. **Qualifications**: - Experience in a client-facing role, with a proven track record of providing top-notch customer service—hospitality or similar industries preferred. - Exceptional communication skills, both written and verbal. - Fluency in English and Spanish is required. - Strong organizational and time-management abilities. - Proficiency with office software and virtual communication tools (e.g., Microsoft Office, Zoom, Adobe, GoogleSuite, case management systems). - Ability to handle sensitive information with discretion and professionalism. - Empathy, patience, and a genuine desire to help others. **Work Environment**: - This is a fully remote position. - Must have a reliable internet connection and a quiet workspace. - Flexibility to work during regular business hours, with occasional adjustments for client needs. **Compensation and Benefits**: - Competitive hourly rate or salary based on experience. - Opportunities for professional growth and development. - The chance to make a meaningful impact on clients’ lives every day.
