The Accounting Specialist or Junior Admin Advisor will support accounting and administrative processes as a key element of the firm's operations. Operating under the American accounting framework, this role will require effective time management, attention to detail, and the ability to multitask in a fast-paced environment. The Advisor will manage multiple priorities and must be adaptable to changes and deadlines. As part of the Operations Team, the Advisor will also support administrative, financial, and operational activities across departments. The ideal candidate will be highly organized, comfortable dealing with financial data, and proficient in managing accounts payable and receivable, payroll processing, and other finance-related tasks. This role requires clear financial reporting and strong team collaboration to ensure all business operations run smoothly. Additionally, the position will require effective project management skills to optimize resource utilization and contribute to the successful delivery of marketing and operational initiatives. Key Functional Responsibilities: Responsible for managing the daily accounting operations under the guidance of an external firm. Assist with daily and monthly accounting tasks, including maintaining the general ledger. Record financial transactions related to accounts receivable and maintain customer data, payment processors' reports, and other related files. Ensure adherence to the American accounting framework and applicable tax regulations. Assist in preparing financial statements, reports, and data analysis for management review. Project Management (20%) : Assist in overseeing marketing projects and initiatives, ensuring the effective use of resources and the timely delivery of client deliverables. Collaborate with the Marketing and Brand teams to manage project timelines, budgets, and expectations. Help coordinate cross-functional teams and ensure proper project documentation is in place. Monitor progress and ensure all teams meet their goals within agreed-upon deadlines and budgets. Support the optimization of internal processes, ensuring tasks are completed efficiently and aligned with client expectations. People Management (20%) : Support team policies and procedures, ensuring team information is up-to-date. Collaborate with senior leadership on HR-related functions, such as team relations, talent acquisition, and organizational development. Assist with onboarding and supporting team members, helping foster a growth and accountability culture. Operational Support (15%) : Provide administrative support to senior leadership across a variety of functions. Gather, analyze, and prepare reports, charts, budgets, and other presentation materials. Assist in the documentation of internal procedures and identifying opportunities for team improvement. Support the preparation of monthly internal reports and contribute to optimizing business processes. Required Qualifications: 2+ years of experience in a related field (Accounting, Finance, Operations) Bachelor's Degree in Accounting, Finance, Business Administration, or a related field Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and QuickBooks (or equivalent accounting software) Familiarity with American accounting principles and tax regulations Strong organizational and analytical skills with attention to detail Ability to handle confidential information with integrity Excellent verbal and written communication skills in both English and Spanish (preferred) Previous experience with project management and cross-functional team coordination Familiarity with marketing outsourcing operations, resource allocation, and delivery of client services About the Role: This position offers an exciting opportunity to work in a dynamic, fast-paced environment where you can contribute to the development and growth of a growing firm.
