Job Description This is a high-impact, long-term role for a Virtual Assistant to support critical operational workflows in a boutique personal injury and employment law firm. The successful candidate will be responsible for medical & FOIA records management, client intake & screening, and administrative & operational support. Responsibilities - Medical & FOIA Records Management: - Request and track medical records for active cases - Submit and follow up on FOIA requests (e.g., police reports, dash/body cam footage) - Client Intake & Screening: - Conduct 5-10 screening calls daily (10-15 minutes each) for employment-related claims - Use intake templates to summarize client details and relay them to the legal team - Escalate qualified cases for attorney review - Administrative & Operational Support: - Help organize case files and maintain document accuracy - Coordinate translations and Spanish-language client communications - Provide light office coordination (calls, paperwork, follow-ups) - Assist with internal workflow improvements and task coordination Requirements - Strong ability to self-manage and tracking workflow, seeing all follow ups and projects through to completion - 2-5 years in administrative, legal, or client-facing support roles - Clear, professional communication (verbal and written) - Comfortable conducting phone calls with clients - Experience handling sensitive data and case documentation - Strong organizational and multitasking skills - Tech-savvy: familiar with tools like Google Workspace & MS Office/ 365 spreadsheets, virtual phone systems
