We’re on the lookout for an experienced Online Business Manager / Integrator / Operations Manager to take the reins of our growing coaching business and ensure everything runs with ease, excellence, and zero chaos. You’ll be the CEO’s right hand, leading implementation across launches, team coordination, and internal systems so our founder can stay fully in her genius—coaching clients, creating content, and growing the brand. This role requires deep operational ownership, advanced systems expertise, and calm execution under pressure. You will: Oversee the delivery of 3+ major launches/year, including timelines, deliverables, team execution, testing, and QA Build and maintain Asana or migrate to an improved system (e.g., ClickUp or Notion) Ensure project plans include tasks for page building, copywriting, email sequences, link testing, and asset creation — no loose ends Lead a small, remote team: assistant, social media agency, ads expert, and funnel/page builder Ensure all team members know their deliverables and meet deadlines — no hand-holding, no guesswork Be the primary point of contact between the CEO and the team; translate vision into action clearly and efficiently Keep a pulse on all moving parts and protect CEO’s time and attention from unnecessary interruptions Be fluent in GoHighLevel : funnels, email sequences, automations, integrations (this is non-negotiable) Oversee systems including Dubsado, Stripe, Typeform, Zoom, Loom, Canva , and Google Workspace Test all pages, forms, links, and client-facing assets before they go live Troubleshoot and escalate tech issues proactively — no surprises, no broken pages, no “404s” after ads go live Coordinate with specialists (e.g., page builder) to fix technical issues fast and accurately Ensure the assistant is executing her tasks effectively (design, scheduling, posting, logistics) Bring continuous improvement suggestions: new automations, better processes, smarter workflows Identify bottlenecks and inefficiencies — and fix them without being asked Think for the business, not just in it — protect the vision and make it real Bonus (If You Have These Skills) Clip & edit video content for social media or program delivery Use AI tools like ChatGPT or Claude to repurpose content or generate assets Extract content “nuggets” from coaching calls and transform them into social-ready ideas Support or lead logistics for live events or on-the-ground business/personal tasks (if local to Miami – rare, but a huge plus) Minimum 3 years of experience in online business operations for a coaching or digital product business Proven OBM, Integrator, or Project Manager in a fast-paced launch-based environment Advanced GoHighLevel experience — NOT optional Fluency in managing remote teams and holding people accountable across time zones Confident, proactive communicator — you don’t wait for permission or sugarcoating Direct experience with: Asana or ClickUp, Dubsado, Stripe, Google Workspace, Zoom / Loom, Canva, Typeform Solves before there’s a fire – you don’t wait until something breaks to fix it Triple-checks everything – QA is your second nature Loves structure and autonomy – you plan, document, and execute without chasing Understands launch energy – you’re not phased by fast-paced cycles Thinks like a business owner – not just a task manager Does what it takes – if a link breaks on a Saturday before cart open, you handle it (or make sure someone else does) Enjoys the coaching/personal development space – you understand the tone, energy, and nuance of this industry Never needs to be micromanaged – Juliana wants someone who will protect her mental space, not create more stress You’ve never worked in a coaching or online business setting You don’t know how to use GoHighLevel You need emotional buffering or sugarcoated feedback You want to build your own coaching business in parallel You hesitate to take action or wait for instructions before moving forward You are sensitive to direct communication or struggle with ownership Direct access to a high-impact founder who is clear, inspiring, and efficient Room to grow in hours, pay, and scope — especially if you bring creative or tech skills A calm, systemized business that respects your time and talent Performance-based quarterly bonuses Opportunity to work in a brand that changes lives — and respects yours A truly long-term role if you’re the right fit Ready to Apply?
