Job Description This is a remote position. Full-time (40 hours a week) Work Schedule: Monday to Friday 8:30am-5:30pm includes 1 hr unpaid break CST Overview: We are seeking a highly skilled and adaptable Executive Assistant to support executive leadership in a dynamic, mission-driven organization. This role requires someone with executive-level experience who can manage a range of high-level administrative tasks, communicate effectively with various stakeholders, and uphold the highest standards of confidentiality. Key Responsibilities: - Manage executive email accounts, ensuring timely follow-up and organization. - Attend meetings, take detailed notes, and provide clear, concise recaps. - Schedule meetings, appointments, and manage complex calendars for one or more executives. - Serve as a communication liaison between executive leadership and internal staff or external stakeholders. - Coordinate project management activities, monitor deadlines, and follow up on assigned tasks. - Collect and process digital signatures and documents as needed. - Track and manage annual and quarterly administrative tasks and key deliverables. Additional Responsibilities: - Sit in on leadership and team meetings as needed. - Assign and follow up on action items to ensure accountability and progress. - Ensure efficient communication flow and task management between executives and direct reports. - Support additional executive-level tasks or special projects as assigned. Requirements Requirements: - Proven experience supporting executive leadership in a similar role. - Exceptional organizational and time-management skills. - Strong verbal and written communication abilities. - High attention to detail and ability to multitask. - Experience with project management tools is a plus. - Ability to maintain a high level of confidentiality and data security. - Comfortable working independently in a fast-paced, remote environment. Preferred Qualities: - Ability to support multiple executives simultaneously. - Proactive, resourceful, and solution-oriented. - Familiarity with nonprofit or advocacy work is a plus.
