A satellite office in Newport Beach, California, supports national operations. **Role Summary** We are seeking a detail-oriented and finance-savvy **Accounting & Project Admin Coordinator** to support our project management and financial operations. This is a high-impact role ideal for someone with a strong grasp of accounting principles and a desire to grow in the construction or real estate industry. **Key ResponsibilitiesAccounting & Finance Support** - Assist in compiling **monthly billing packages** and reconciling payment records - Maintain **project expense tracking** and financial documentation - Support **payment scheduling** and ensure timely submissions to clients - Maintain **insurance logs** and verify documentation is compliant **Project Administration** - Maintain and organize **project directories and contact lists**: - Track and update **RFI logs**, **submittals**, and **close-out documentation**: - Support document submissions for **permitting** with municipalities - Take and distribute **meeting minutes** and follow-ups **Communication & Coordination** - Attend client and subcontractor meetings via **Microsoft Teams (camera + voice required)**: - Assist with **social media content** related to project updates - Help compile **monthly project reports** using input from the project team **Minimum Requirements** - Fluent in English (9/10 verbal and written) - Proficient with Microsoft Office Suite (8/10 or better) - Comfortable on **Microsoft Teams (video meetings required)**: - Strong interpersonal skills for speaking with clients, subcontractors, and vendors - Ability to work 8AM-4PM CST - Familiarity with **Bluebeam** for document review/markup Application Question(s): - Have you previously worked for a U.S.based company? **Experience**: - accounting in construction: 3 years (required)
