Position name :Remote Surgical Coordinator & Operations Specialist Bilingual English/ Spanish Job Purpose We are seeking a highly organized, detail-oriented, and proactive Surgical Coordinator & Operations Specialist to support the surgical and administrative operations for a Surgeons office. The ideal candidate has excellent English communication skills, thrives in a remote environment, and has experience coordinating surgical procedures, managing patients, and optimizing healthcare workflows. REQUIRED QUALIFICATIONS Education · College Diploma: Administrative Management Careers, Business Administration (required). · Master’s Degree (desirable). Training or Expertise · Strong written and verbal English skills; must be able to communicate clearly with U.S. patients and providers. · Background in medical billing workflows or CPT code verification. · Familiarity with virtual tools such as Zoom, Slack, Google Workspace, Asana, or similar. Experience · Experience managing or supporting third-party vendors (labs, imaging centers, external clinics). · Strong customer service background with a hospitality mindset. KEY RESPONSABILITIES Operational Duties · Review weekly case schedules and deliver summaries to the surgeon. · Optimize appointment schedules and surgical blocks for efficiency. · Coordinate daily staffing, including per diem nurses and assistants. · Ensure accurate billing workflow including CPT coding, operative reports, and billing encounters. · Maintain a comprehensive surgical log with patient and billing details. · Support policy development related to patient screening and surgery booking. · Collaborate with systems and offices such as eCW and Seaport Smiles. · Track lead-to-consult and consult-to-surgery conversions; support follow-up and patient database accuracy. · Drive ongoing process improvements for better performance and accountability. Surgical Coordination Duties · Schedule surgeries and pre/post-op appointments across providers and facilities. · Ensure patients are informed, cleared, and prepared for procedures. · Coordinate all pre-op testing, medical records, and patient instructions. · Secure pre-operative clearance from primary care providers as needed. · Ensure completion and submission of pre-op surgical packets to facilities. · Oversee billing and reimbursement processes for surgical cases. · Confirm insurance referrals and authorizations before and after surgeries. · Maintain the aesthetic photo database with proper consents and tracking. · Collaborate with leadership to develop standardized encounter protocols. Customer Experience & Office Norms · Provide compassionate, high-quality support to patients via phone and email. · Assist with scheduling, registration, and responding to inquiries. · Maintain a positive, collaborative, and professional virtual presence. · Follow CMF Surgeons’ communication, dress, and behavioral norms. · Support the team with various administrative and special projects as needed. REQUIRED QUALIFICATIONS · Experience: 2–3 years in surgical coordination, healthcare operations, or medical admin roles. · Remote Readiness: At least 1 year of remote work experience, with strong self-management skills. · Tech-Savvy: Proficient in calendar/task management tools, EMR systems (e.g., eCW), and Google Workspace. · Language: Excellent written and verbal English communication. · Personal Qualities: Proactive, reliable, organized, compassionate, and adaptable. · Minimum 2–3 years of experience working remotely with U.S.-based healthcare organizations, preferably in surgical, aesthetic, or facial reconstructive practices. · Hands-on experience supporting surgeons and coordinating medical procedures (oral, maxillofacial, or aesthetic experience highly preferred). · Previous experience in hospitality, luxury care, or concierge-level service is a strong plus, especially if involving patient/customer interaction. · Strong knowledge of surgical workflows, pre-op/post-op coordination, and patient management. · High comfort level with EMR systems (e.g., eClinicalWorks or similar), task tracking tools, and cloud-based communication platforms. · Strong written and verbal English skills; must be able to communicate clearly with U.S. patients and providers. · Highly organized, proactive, and capable of working independently without daily supervision. · Comfortable handling sensitive information with discretion and professionalism. WAGE COMPENSATION Compensation: $1,300.00 USD monthly Schedule: Monday, Tuesday, and Thursday from 7:30 AM to 4:00 PM EST, Wednesday from 8:00 AM to 4:00 PM EST, and Friday from 8:00 AM to 2:00 PM EST.
