As a Membership and Meetings Coordinator, you will have the objective of supporting the administrative tasks related to the operational and accounting processes of our clients. Your main responsibilities will be to: - Performs administrative tasks as assigned, including, but not limited to making phone calls, preparing correspondence, scheduling meetings, and travel arrangements. - Provides administrative support for various committees. - Provides education and event support: coordinates logistics for exhibits and supplies at industry tradeshows. - Responds to inquiries from members and nonmembers on association activities and programs. - Assists with the annual membership directory process. - Updates and maintains member records; research and identifies prospective members. - Manages the onsite registration process for the annual convention and assists with other events as needed. - Periodically check into old open invoices for Driver/Individual memberships, as well as corporate memberships, and clean those up. - Database management including membership updates for corporate members and ensuring accuracy of entries. - Every month, prepare invoices and letters for those members renewing at the end of the month. Send to Account Executive (Cassidy) and to print out and mail. - Managing the Monthly Membership Report and sending bi-weekly updates, removing lapsed members - Work with people/associations who sign up as Trade-Out members - Send new driver contact information to Image Team for welcome notes. - Align MemberClicks dbase with Hubspot dbase: Every week or so, process export from MemberClicks and Import into HubSpot - Send W-9s to new and renewing members - Other duties as assigned **Requirements**: **What would help you to succeed in this role**: - Work experience coordinating membership or meetings activities is a plus. - Strong verbal and written communication skills. - Ability to interact well with colleagues, members, and external contacts. - Ability to work well under pressure, in addition to managing multiple priorities. - Must be self-motivated **As part of our family, you´ll have access to**: - Competitive Salary + Benefits. - Undefined term contract. - Remote. - Collaboration with international clients to maximize business value. - A fun and challenging work environment.
