Job Purpose The Executive Assistant (EA) provides high-level administrative support to the CEO and general operational support to the organization. As a critical and trusted member of the team, the EA exercises sound judgment, discretion, and professionalism in all interactions. This role requires a proactive, organized, and detail-oriented individual who thrives in a fast-paced remote environment. REQUIRED QUALIFICATIONS Education · Associate or bachelor’s degree in business administration, Law, or a related field. · Master’s degree is a Plus. Training or Expertise · Proficient in Google Workspace, Monday.com, Microsoft Office Suite (Word, Excel, PowerPoint), and PandaDoc Experience · 3+ years of experience as an administrative or executive assistant. Experience supporting multiple senior leaders is highly desirable · Minimum 2–3 years of experience working remotely for U.S.-based companies KEY RESPONSABILITES · Manage and maintain the CEO’s calendar, schedule appointments, and coordinate meetings · Monitor and manage the CEO’s email inbox, handle routine correspondence, and flag urgent matters · Support the CEO in human resources functions including staff onboarding and offboarding · Document and distribute weekly meeting minutes · Prepare and send client invoices, coordinate payments for contractor consultants · Oversee client onboarding, CRM contact maintenance, and document organization · Maintain and organize digital files in Google Drive and project management tools · Attend selected client meetings, take notes, and manage follow-up action items · Assist the CEO in preparing for client and prospect meetings · Provide project management support and act as a client liaison · Help evaluate and implement new technology and tools to improve operational efficiency · Support the CEO in organizing information, managing priorities, and scheduling personal appointments when required · Act as a resource for other team members and perform other duties as assigned REQUIRED SKILLS · Advanced English communication skills (spoken and written) · Proven experience supporting U.S.-based executives and teams remotely · Minimum 2–3 years of experience working as an Executive Assistant for U.S.-based companies · Highly organized with meticulous attention to detail · Proficient in Google Workspace, Monday.com, Microsoft Office Suite (Word, Excel, PowerPoint), and PandaDoc · Strong time management skills and ability to handle multiple priorities · Capable of maintaining confidentiality and handling sensitive information · Comfortable working independently in a fully remote environment · Excellent interpersonal and problem-solving skills COMPENSATION AND BENEFITS Compensation: $1,400 USD Monthly Schedule: Monday to Friday, 8:00 AM – 5:00 PM EST with the one-hour unpaid lunch (occasional overtime as needed) Internet and computer costs must be covered by the contractor.
