We are seeking a proactive and detail-oriented HR and Office Manager to oversee both human resources operations and office administration. This role is essential in ensuring a smooth employee experience across the full lifecycle—from onboarding to offboarding—while also managing day-to-day office operations, health and safety, and compliance. Position Summary: We are seeking a proactive and detail-oriented HR and Office Manager to oversee both human resources operations and office administration. This role is essential in ensuring a smooth employee experience across the full lifecycle—from onboarding to offboarding—while also managing day-to-day office operations, health and safety, and compliance. The ideal candidate is organized, resourceful, and capable of fostering a high-performance, community-oriented work environment. Key Responsibilities: Human Resources Operations Draft employment contracts and manage onboarding processes to ensure a seamless transition for new employees Conduct pre-employment checks to ensure compliance with company policies and mitigate risk Maintain and audit employee records and HR databases to ensure data accuracy Manage offboarding procedures and ensure all exit processes are completed in line with contractual obligations Prepare and process monthly payroll, including updates for commissions, benefits, and incentives; coordinate with payroll providers to meet deadlines Produce monthly HR reports covering attrition, absence, recruitment spend, and training activity Monitor and report on employee absence and retention trends, recommending proactive solutions as needed Oversee compliance with statutory absence policies and best practices (e.g., maternity, leave of absence) Maintain and document key HR processes and templates to support legal compliance and operational consistency Office Management & Site Support Oversee day-to-day office operations including facilities, service contracts, insurance, and vendor relationships Liaise with building management and suppliers to coordinate services, rent payments, and maintenance Create and maintain a positive, productive working environment for all employees Organize office events, social activities, and team-building initiatives to support engagement Manage office supply procurement (IT equipment, stationery, kitchen/bathroom essentials) Lead health and safety compliance, including training, first aid, and office security procedures Maintain and monitor the office budget, tracking all expenses and vendor payments Support local and regional managers in implementing employee well-being and engagement programs Act as a trusted point of contact for on-site employees, providing pastoral and practical support Coordinate with functional managers to address performance, attendance, punctuality, and conduct of site-based or dotted-line staff Execute and manage contracts and agreements in line with company Delegation of Authority policies Support Finance with payroll processing, vendor invoicing, and interaction with local government bodies as needed Ensure the company maintains good operational standing and compliance with local regulatory requirements Qualifications: Bachelor's degree in HR, Business Administration, or a related field Minimum of 3–5 years in HR and/or office management roles Fluent in English, at least C1 level.
