Job Description Opportunity at a Glance The position involves a wide range of administrative, general support, and analysis duties of a highly responsible and confidential nature. It requires professionalism, discretion, and integrity when handling sensitive material and interacting with internal and external contacts. Responsibilities Anticipate needs and use discretion to prioritize tasks, keeping the leader informed about meetings, agendas, travel, upcoming events, emails, and other relevant matters. Manage the leader’s calendar and contact database to schedule meetings, arrange travel, order supplies, prepare expense reports, and coordinate facilities and catering. Serve as a liaison between the leader and employees, clients, and external contacts, exercising good judgment in handling matters independently or referring them as needed. Handle complex situations and time conflicts related to business and administrative functions, managing confidential and time-sensitive information regularly. Prepare high-level documentation and advanced correspondence for presentation to Board Members or the Presidential Cabinet. Maintain accurate records and files, developing and managing electronic and hard copy filing systems, ensuring timely and proper filing, and providing information upon request. Assist in preparing budgets and tracking expenses. Organize large meetings, potentially involving multiple departments. Provide administrative support to other members of the Executive Cabinet as assigned. Support other departments and employees with special projects or events. Provide documents and information to the CEO of Adtalem Global Education and his office as requested. Perform daily light housekeeping of the leader’s office. Complete other duties as assigned, ensuring compliance with policies and standards. Qualifications Bachelor’s Degree required, or equivalent combination of education and experience. 8+ years of executive assistant experience. Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and other Microsoft applications; experience in meeting note-taking. Excellent organizational, oral, and written communication skills. Ability to multitask, work independently, and collaboratively. Ability to maintain composure under pressure. Strong attention to detail. Good judgment and discretion, especially regarding confidential information. Additional Information The expected salary range is $20.51 to $36.09 per hour, adjusted based on experience, location, and other factors.
