**_Position Summary _** The Executive Assistant works with CBO (Chief Benefits Officer) to provide one-to-one support. The EA must be able to support the CBO by offering administrative help such as monitoring office needs, i.e. ordering office supplies, drafting communications on their behalf, planning and organizing meetings, travel planning, and anticipating the needs of everyday life. A successful EA will have a deep understanding of the company and know who the key personnel is, as they are representing the CBO to staff. It is important that the EA has great interpersonal skills, is well-presented, professional, and can maintain confidentiality. - **Essential Duties and Responsibilities**:_ - Preparing communications on behalf of the CEO - Acting as a first point of contact: dealing with correspondence and phone calls to and from managers - Managing and organizing meetings and appointments, often controlling access to the CEO - Ensure proper filing of business-critical documentation as needed. - Create and maintain business metric and statistical reports for CEO as needed. - Organizing travel and itineraries including but limited to booking and arranging business and personal travel, transport and accommodations - Organizing and planning office meetings as well as maintaining the CEO's calendar - Primary liaison between staff, vendors, business partners, etc. - Organizing special events - Cross train with various departments in the company such as the Billing, Human Resources and Accounting Department - Reminding the executive of important tasks and deadlines - Taking notes and writing minutes during meetings, typing, compiling and preparing reports, create standard operating procedures, presentations and correspondence - Working with Accounting on reconciling, collating and filing business expenses - Conducting or preparing any research that the reporting manager may require - Various ad hoc requests - Implementing and maintaining procedures/administrative systems to smoothly run the office. - Miscellaneous tasks to support managers, which will vary according to the CEO - _Skills & Qualifications: _* - Discretion and trustworthiness: you will often be the party of confidential information - Flexibility and adaptability - Good oral and written communication skills - Organizational skills and the ability to multitask - The ability to be proactive and take the initiative - Tact and diplomacy - A knowledge of standard software packages and the ability to learn company-specific software if required. - Professional discretion - Efficiency - Well-developed time management skills, and strong organizational skills - High School Diploma or equivalent; two (2) year or four (4) year college degree preferable - Minimum three (3) years general administrative experience; previous industry experience highly desired, but not necessary - Customer service driven - Proficient in Microsoft Word, Excel, Outlook and PowerPoint - Ability to multi-task - Advanced English level.
