LOOKING FOR STELLAR TOP CANDIDATES Position : Executive Assistant / Operations Coordinator Working Hours : Full-Time│Mon-Friday 9:00am - 5:00pm EST Salary : Latin America : $1,600 to $2,300 South Africa: $1,500 to $2,000 Philippines: $1,300 to $1,800 (depending on exp and client’s final offer) About the Role: This is a high-trust, hands-on support role that blends administrative support, creative marketing, and operational coordination. You’ll work closely with both the CEO and on-site team, handling day-to-day business functions, supporting communication, managing scheduling, and contributing to marketing initiatives. Role Responsibilities: Administrative & Operational Support Manage scheduling, including booking, rescheduling, or canceling appointments Answer phones, return calls, and manage SMS communications Direct client queries to management or massage therapists as appropriate Handle sensitive information with a high level of discretion Support onboarding and offboarding processes for team members Make weekly Amex payments and track related records Maintain and update the CEO Dashboard spreadsheet with KPIs weekly Marketing & Creative Manage social media posting schedule (primarily Meta Business tools) Track social media engagement, respond to comments/messages, and report on performance Draft and send monthly email newsletters Create and update content using Canva for digital and print use Update and maintain the website (GoDaddy), Square, and Acuity with new offers and pricing Project Research & SOPs Conduct research for ongoing initiatives and provide clear summaries Draft SOPs and internal guides as needed for team processes Requirements: 2–3 years of experience in administrative, marketing, or operations roles Strong verbal and written communication skills Highly organized, self-driven, and detail-oriented Experience working with wellness or healthcare companies is a plus Ability to follow through independently while collaborating effectively with remote teams Comfortable with a flexible schedule but responsive during business hours (EST) Nice to Have Prior experience supporting executive teams or small business owners Confidence in coordinating across different stakeholders (on-site managers, therapists, CEO) Exposure to KPI tracking and business reporting Tools & Platforms You’ll Use Microsoft 365 (Word, Excel, SharePoint, Teams, Forms) Gusto (for payroll support) Meta Business Suite (social media) Canva (creative/marketing design) Acuity, GoDaddy, Square (for scheduling, promotions, and site updates) NOTE: We prioritize the processing of one application at a time.
