You’ll work hand-in-hand with the Product Manager to make sure our internal systems are clean, complete, and current, helping our Sales, Ops, and Customer Support teams work more efficiently and confidently. If you're someone who loves structure, systems, and the satisfaction of bringing order to chaos, this role was built for you. Key Responsibilities ● Data Sourcing: Collaborate with vendors to gather essential itinerary details (e.g., room specs, meal plans, activity logistics). ● Information Management: Enter and organize product data across HubSpot, Google Drive, and other internal tools in a way that’s easy to find and use. ● Gap Identification: Spot missing or inconsistent information and proactively coordinate with the appropriate team or vendor to resolve it. ● Documentation Maintenance: Ensure all product folders, links, and materials are kept up to date with the latest information. ● Support & Collaboration: Assist the Product Manager with ongoing project work, communications, and system improvements. In your first 90 days, you'll: ● Fully organize and update a sample set of existing itineraries ● Implement a repeatable system for sourcing and documenting new product details ● Create shared access points and folders for internal teams to find itinerary info quickly ● Become a trusted go-to for product-related information Requirements● 1–3 years experience in operations, coordination, travel, or project support roles ● Impeccable attention to detail and organizational skills ● Strong comfort with tools like Google Drive, HubSpot, spreadsheets, and basic AI platforms ● Experience working cross-functionally or with vendors is a plus ● Fast learner with a strong sense of ownership and follow-through ● Excellent communicator, especially in a remote environment ● No travel required for this role Job Type: Full-time Experience: - administrative assistant: 1 year (Required) Language: - English (Required)
