With operations all over the world, we celebrate a diverse range of cultures at CPL Aromas and, we offer equal opportunities and flexibilities. - Reports to: - Sales Manager - Job Purpose - Provide comprehensive support to account executives and sales managers in the execution of key tasks aimed at business development and increasing the company's sales. - Tasks and Responsibilities - Update the trades agreement with the information provided by the account executives in the system when required. - Maintain the general and distributor portfolios up to date following the parameters given by the commercial management. - Keep the master file updated with address changes and the addition of new clients in the client specifications table so that it can be consulted by dispatches. - Address the concerns and requests of account executives to respond to projects in a timely manner and ensure client satisfaction. - Design the presentation of the Olfactory triangles with the information provided by the creative area and send to clients when required. - Upload projects into the system and efficiently track them to ensure they meet the defined deadlines, reporting on their progress and completion to the account executive. - Load customer orders into the system to address their requirements in a timely manner. - Manage the shipment of samples to the client to meet their requirements. - Request IMMI approval from Formula Management through the system to ensure that new reference lines can be processed as orders in the system in a timely manner. - Ensure that the account executive has the necessary presentations, samples, documentation, and supplies for client visits. - Generate quotes with the information provided by account executives and send them to the respective clients. - Request from the appropriate person and send the technical documentation required by the clients. - Generate and send Proforma Invoices to clients as requested by the account executive. - Track and receive samples/bases sent by clients, generate the Free Trade Zone entry form, and report to COMEX. - Re-control samples sent by the client and provided the necessary information to Quality Control. - Record complaints from internal and external customers in the system and process customer return complaints according to the established returns procedure, following up with the Continuous Improvement Committee and the relevant departments. - Skills and Attributes Required - Studies - Technician or Technologist in administrative careers, preferably a professional degree in administration, international business, or related fields. - Training - Knowledge of ERPS or D365 is desirable - Experience - Minimum 06 months in administrative or commercial areas - Skills - Customer service - Task organization - Basic troubleshooting - Time management - Effective use of digital tools
