**Job Title: Executive Assistant - Latam** **Location**: Remote (EST Timezone) **Working Schedule**: Monday - Friday, 9:00 AM to 6:00 PM EST Our company is seeking a highly organized and detail-oriented Executive Assistant to provide high-level administrative support to our CEO and COO. As an Executive Assistant, you will play a crucial role in enabling our executives to focus on strategic business goals by managing their schedules, facilitating communication, and handling various administrative tasks. **Key Responsibilities**: - ** Calendar Management**:Efficiently maintain and coordinate the schedules of the CEO and COO, including managing meeting and event logistics. - ** Communication Facilitation**:Serve as the primary point of contact between executives and internal/external stakeholders, managing correspondence and ensuring timely relay of information. - ** Meeting Preparation and Follow-up**:Prepare meeting agendas, materials, and minutes. Follow up on action items to ensure timely completion. - ** Travel Coordination**:Arrange travel logistics for executives, including flights, accommodations, and itineraries, ensuring smooth travel experiences. - ** Document Management**:Prepare, review, and revise documents such as reports, presentations, and letters while maintaining confidentiality. - ** Project Management**: Assist in overseeing projects, ensuring deadlines are met and objectives are achieved. Provide administrative support for project tasks as needed. - ** Event Planning**:Organize and coordinate executive-level events, including retreats, board meetings, and corporate gatherings. - ** Expense Reporting**: Manage and reconcile expense reports, ensuring accurate and timely submission in accordance with company policies. - ** Stakeholder Engagement**: Assist in managing relationships with key stakeholders, including board members, investors, and important clients. - ** Ad-hoc Support**:Provide additional support to the CEO and COO as needed, which may include personal errands to support their business efficiency. **Requirements**: - Bachelor's degree or equivalent experience preferred. - Proven experience as an Executive Assistant or similar role. - Proficiency in GSuite, and Google Calendar. - Strong communication and interpersonal skills, with a professional demeanor. - Exceptional organizational and multitasking abilities. - Ability to work efficiently in a remote environment and adhere to deadlines. - High level of discretion and ability to handle confidential information.
