Position Overview: The Patient Coordinator plays a key role in managing patient communication, scheduling, and clinic operations while ensuring an exceptional patient experience. The ideal candidate is highly organized, proactive, and tech-savvy. Key Responsibilities: Patient Coordination & Communication: - Serve as the primary point of contact for patients, ensuring clear and efficient communication. - Manage patient emails, inquiries, and follow-ups to maintain a high-touch experience. - Schedule consultations and follow-up appointments with precision. - Oversee the Quarterly Blood Draw process - ordering, tracking, and scheduling lab reviews. - Maintain and update patient records in Tebra (EMR) and other systems. Operations & Workflow Optimization: - Manage calendar and coordinate high-level meetings. - Track and manage pharmacy orders, ensuring timely medication and peptide deliveries. - Keep patient documentation up-to-date in Dropbox, Tebra, and internal tracking systems. - Maintain accurate data on the Member Tracking Sheet. - Willing and eager to learn AI tools to automate work. Billing & Financial Coordination: - Generate and send monthly invoices to patients. - Update patient ledgers, tracking orders, payments, and outstanding balances. - Ensure accurate documentation of invoices, FedEx labels, and order confirmations. Collaboration & Executive Support: - Work closely with the leadership team to refine processes. - Flag high-priority emails and scheduling conflicts. - Assist in preparing executive reports for decision-making. Required Skills & Qualifications: - Experience in patient coordination, clinical administration, or healthcare concierge roles. - Fluent in English with excellent written and verbal communication. - Advanced organizational and multitasking skills. - Ability to work independently and take ownership of responsibilities. - Proficiency in Tebra (EMR or similar), RingCentral, Dropbox, and Google Workspace. - Familiarity with longevity medicine, functional medicine, or high-performance healthcare (preferred). Nice-to-Haves: - Experience using AI to optimize workflows (but can be learned on the job). - Background in a fast-paced, high-growth startup. - Strong problem-solving skills and ability to think on your feet.
