Job Description Position Overview: The Litigation Assistant is an integral role to the efficient management and support of litigation processes, ensuring that legal documents, case materials, and communications are meticulously organized, properly filed, and delivered on time. The Litigation Assistant in this position will serve as a vital support to attorneys, clients, and court personnel, facilitating the smooth flow of case proceedings by managing deadlines, drafting legal documents, and coordinating essential case activities. A strong attention to detail, excellent organizational skills and the ability to manage multiple tasks simultaneously are key to excelling in this position. Job Description & Responsibilities – including but not limited to: Case Management and Organization Thoroughly organize and maintain case files to ensure all documentation is readily accessible and file name is properly titled. Ensure proper naming conventions are followed for easy document identification. Keep case information up to date in the case management system to ensure accuracy and efficiency. E-Filing, Service of Legal Documents, and Correspondence with Opposing Counsel and Judicial Assistants Manage the electronic filing (e-filing) of documents and physical mailings, if required, ensuring all filings are accurate and timely. Coordinate and maintain communications with opposing counsel and judicial assistants to facilitate the smooth processing of legal matters. Serve Complaints, Summonses, Subpoenas, and discovery materials as required, ensuring compliance with all applicable deadlines for responses and objections. Saving of Court-Related Filings and Email Correspondences Save and organize all court-related filings, including Pleadings, Motions, Notices, Discovery responses, and Subpoenas. Ensure proper documentation of filings, service of court documents, and completion of processing in compliance with procedural requirements. Client Communication Return Client Calls within 24 hours Regularly engage with clients to verify and finalize the Litigation Biography. Ensure completeness and accuracy of all client-provided information, addressing any discrepancies or additional information needs. Drafting of Summons and Complaint Draft Summons and Complaints based on case details provided by attorneys. Ensure all necessary information is included, such as parties involved, jurisdiction, and relevant legal claims. Drafting of Discovery Documents Draft discovery-related documents, including Interrogatories, Requests for Production (RFPs), and Requests for Admissions (RFAs), in accordance with case strategy and attorney direction. Discovery Review and Management Review discovery materials with attorneys and clients to ensure understanding and accuracy. Organize, maintain, and properly file all discovery materials, including exhibits, ensuring they are easily accessible for future use. Deposition, Hearing, and Mediation Preparation Assist in the preparation of necessary documents for depositions, hearings, and mediations. Provide administrative and document support attorneys as needed throughout the processes. Deposition Scheduling and Coordination Prepare and serve Notices to Set Depositions (NTDs) and coordinate scheduling with court reporters. Manage logistical details such as circulating Zoom links or other virtual meeting invitations, ensuring all parties are properly informed. Deadline and Calendar Management Maintain a comprehensive calendar tracking all due dates and deadlines related to the case. Monitor and ensure compliance with deadlines for Answers, Replies, Discovery submissions, Depositions, CMEs, Trial dates, Hearings/CMCs, and Mediations, notifying the legal team of any upcoming deadlines. Litigation Costs and Financial Management Manage the payment of invoices and litigation-related expenses, ensuring accuracy and timeliness. Regularly update the Expense Link in Litify to accurately reflect current financial activities and facilitate effective cost tracking Qualifications - Must be fluent in English and Spanish. - Must consistently be on time and reliable. - Must work well in a team environment. - Must have excellent written and verbal communication skills, including the ability to successfully communicate with other employees. - Must have proficiency in using computers and relevant software. - Must be able to prioritize tasks effectively. - Must possess strong multitasking and time-management skills. - Must have strong phone contact handling skills and active listening abilities. - Must have a passion for delivering exceptional customer service. - Must have the ability to handle customer complaints and provide appropriate solutions. - Must be able to adapt to a fast-paced and changing work environment. - Must have a keen eye for detail to ensure accuracy and thoroughness in all tasks. Preferred Qualifications: - Must have a high school/technical/bachelor’s degree in a related field or equivalent experience in a legal setting.
