Objective As the Medical Records Assistant, you play a crucial role in managing the process of obtaining and organizing medical records and bills. Your meticulous attention to detail and communication skills will contribute to seamlessly managing our clients' cases. Responsibilities/Duties Ø Coordinate with clients to obtain necessary authorization for record requests. Ø Complete HIPAA forms, notarize when required, and facilitate records requests in compliance with privacy regulations. Ø Draft and prepare LORs for various healthcare providers. Ø Request medical records and bills from various healthcare providers. Ø Coordinate invoice payments for medical record releases. Ø Communicate with accounting regarding payment of medical records requests that require check payment. Ø Maintain regular follow-ups with healthcare providers to ensure timely delivery of records. Ø Coordinate with insurance adjusters and analysts to request PIP, Med-Pay, Health Insurance Lien letters, and payment logs. Ø Collaborate closely with Pre-Litigation Legal Assistants to ensure accurate case documentation. Ø Update case management software to include all medical providers, dates of services, total charges, payments, and adjustments. Ø Assist in reviewing medical records to identify relevant information for case evaluation. Ø Ensure all obtained medical records are accurate, complete, securely stored, and saved to the appropriate folders. Ø Organize and categorize medical records for easy retrieval and reference. Ø Collect prior medical history records when necessary. Ø Work with the legal assistant team to send an appropriate letter to the medical provider when a collection matter has been identified. Ø Confirm whether health insurance, Medicaid, Medicare, or Med-Pay was used and work with a legal assistant to send initial lien request letters and pay log letters and add them to the CRM value tab. Ø Send the medical providers the “do not send to collections” letter. Ø Communicate with health insurance regarding insurance and whether it was begin used. Ø With the assistance of the legal assistant, all medical providers will be identified with the payment and billing information, and all collateral sources will be identified with payment logs. Ø Assist and guide the litigation department in requesting medical records. Ø Add all case expenses to the Value Tab. Ø Perform other duties as assigned by Management and/or Team Leaders. Ø Other duties as assigned. Requirements Ø High School diploma or equivalent. Ø Written and verbal communication skills. Ø Problem-solving skills. Ø Organizational skills and attention to detail.
