Job purpose As a Remote Executive Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our CEO's daily activities. You will be responsible for handling a wide range of administrative tasks, including email management, data processing, scheduling, and phone communication. The ideal candidate should be highly organized, an excellent communicator, and capable of multitasking to keep the executive on track. REQUIRED QUALIFICATIONS Education · The ideal candidate should have excellent oral and written communication skills in English/ Spanish · A bachelor's or master’s degree in business administration, communications, or any related administrative management career. Training or Expertise · High English level (Well spoken, well written) · High Spanish level (Well spoken, well written) · Strong Microsoft Office and Google Suite skills · Familiarity with ADP payroll processing is beneficial. Experience +2 years of Proven experience as an administrative assistant or office administrative assistant for USA-based companies +2 years of Proven experience working in customer service for USA-based companies JOB FUNCTIONS · Email Management: Monitor, organize, and respond to emails on behalf of the CEO, ensuring timely action on high-priority messages. Proactively flag urgent matters and communicate with the CEO as needed. · Expense Management: Process and track project-related expenses, ensuring accurate record-keeping and efficient expense reporting. Assist in streamlining financial workflows. · Schedule Coordination: Manage the CEO’s daily calendar, scheduling meetings, appointments, and tasks to maximize efficiency and productivity. · Task Prioritization: Support the CEO in staying on track by setting priorities, preparing daily to-do lists, and ensuring critical deadlines are met. · Phone Communication: Handle incoming calls with professionalism, representing the CEO and assisting potential clients or partners. Route prospects into the company’s marketing funnel when appropriate. · Administrative Support: Provide comprehensive administrative assistance, including document preparation, travel coordination, and research, acting as a reliable extension of the CEO. · Payroll Coordination: Manage and process payroll using ADP, ensuring accuracy and compliance with company policies. · Proposal & RFP Management: Prepare and submit RFPs and other proposals, coordinating with consultants and team members to ensure timely and high-quality project delivery. · Marketing Support: Assist with marketing initiatives, including content coordination, social media support, and others. REQUIRED SKILLS · Highly organized with a sharp eye for detail. · Outstanding written and spoken English communication skills. · A clear, pleasant, and professional speaking voice. While an American accent is not required, the ideal candidate should be confident and articulate when speaking on the phone. · Comfortable handling inbound and outbound calls with a friendly and approachable tone, ensuring a positive experience for callers. · Demonstrated experience providing administrative or executive support for U.S.-based companies. · Skilled in managing emails and coordinating schedules efficiently. · Strong analytical thinking with the ability to solve problems independently. · Adept at handling multiple tasks while balancing shifting priorities. · Professional and courteous phone attitude with excellent customer interaction skills. · Technologically proficient and quick to learn new software and systems. · Discreet and trustworthy when managing confidential or sensitive information. · Self-driven, proactive, and solution oriented. · Previous experience in a remote work setting is advantageous. · Familiarity with ADP payroll processing is beneficial. · Background in marketing is a plus. WAGE COMPENSATION Compensation: $1,200 (USD) Monthly Schedule: Monday to Friday from 8:00 AM – 5:00 PM EST However, as an exempt contractor, you may be required to work beyond these hours from time to time to fulfill your responsibilities as may be necessary. Internet and computers must be covered by the contractor.
