Job Title: Database & Campaign Coordinator Type: Full-time, Independent Contractor Location: Remote Work hours: 9:00 AM – 5:00 PM US Eastern time zone Overview We are seeking a Database & Campaign Coordinator to support email-based outreach and print invitation process for universities and students. This role blends campaign execution, CRM/database management, and light design work (using Adobe Suite templates). The ideal candidate is highly organized, detail-oriented, and thrives in structured, repeatable workflows, while ensuring all campaigns and assets are delivered on time and with accuracy. Responsibilities Build and manage branded email marketing campaigns using HubSpot and internal CRM. Organize and maintain marketing assets (logos, templates, creative). Use Adobe Suite (InDesign/Illustrator) to edit and update template-based designs, incorporating university branding and logos. Coordinate digital and print invitation processes with vendors. Collaborate with university partners for design approvals and ensure branding accuracy. Submit final assets to vendors and track mailing/email send-outs. Maintain and optimize process workflows for repeatable campaigns. Ensure daily consistency, accuracy, and efficiency in campaign execution. Hard Skills Required Experience with HubSpot or similar marketing automation tools . Adobe InDesign / Illustrator (template editing, not from-scratch creative). Strong proficiency in managing asset libraries and campaign documentation. Excel/Google Sheets for campaign tracking and reporting. Attention to detail and accuracy in repetitive workflows. Ability to work across email, light design, and operational tasks seamlessly. Soft Skills Required Highly organized and process-driven — thrives in structured routines. Detail-obsessed with a strong focus on accuracy. Clear and proactive communicator. Comfortable with repetitive workflows and consistency. Willingness to grow into a leadership role within the ops/marketing team. Preferred Qualifications Prior experience in higher education, student outreach, or university marketing . Background in vendor coordination for digital/print campaigns. Experience with data-driven campaign performance reporting . Familiarity with CRM data hygiene and segmentation .
