Responsibilities Serve as the professional voice of the firm by answering and managing all incoming phone calls Coordinate and manage appointment scheduling and calendar systems Handle comprehensive day-to-day administrative operations to keep the practice running smoothly Support the business owner with various back-office functions and special projects Maintain organized filing systems and administrative processes Provide professional client service and support during business hours Assist with general office management tasks and operational efficiency initiatives Requirements Excellent verbal communication skills with professional phone manner Proven experience in scheduling, calendar management, and administrative coordination Strong organizational skills and attention to detail Administrative background with office management experience Law firm or legal industry experience is highly valued but not mandatory Ability to work full-schedule (35+ hours per week) consistently Must be located in South America for optimal time zone collaboration Professional demeanour for client-facing interactions Comfortable working with cloud-based systems and technology Bilingual capabilities (English/Spanish) are a plus given diverse client base.
