The Coupa team is looking for an experienced Workplace Experience Manager to help lead the day-to-day operations for its Bogota office. You will have a strong focus on efficiency, process creation, creativity, and delivering happiness to all employees, customers and visitors. You should be an energetic professional, comfortable wearing multiple hats, and able to adapt and thrive in our quickly growing, ever changing environment. You will work closely with the Senior Manager, Workplace Operations to deliver A-class service to the local team, and offer ad hoc support, as needed, to the wider team. Role & Responsibilities: - Oversee management of day-to-day facilities operations, compliance requirements, facilities maintenance and general office management across the business enterprise. - Support facility planning and occupancy standards in support of company growth (specifically planning for COVID related issues). - Coordinate with property management on repair/routine maintenance on facilities and equipment, and establish a preventative maintenance policy. - Ensures that agreed work by staff or vendors has been completed satisfactorily and follows up on any deficiencies until these deficiencies are corrected and completed. - Strong project management skills to guide internal and external teams through design and permitting, to construction, furnishing and ongoing maintenance. - Participates in minor and major projects ranging from small furniture reconfigurations to larger scale building capital renovation projects and space planning. - Researches and is proactive around improving office efficiency or cost savings and able to present ideas with context and clarity. - Support compliance to all regional and local safety requirements, including emergency preparedness, ERT, Ergonomic Program, Fire Protection Plan, etc. - Act as liaison for all EH&S; regulatory agency inspections and surveys. - Assign security access for employees and vendors. - Partner on sustainability initiatives including eWaste, energy & emissions and green initiatives. - Oversee onboarding of new hires and terminations in collaboration with HR and IT functions. - Explore, implement and maintain programs that enhance the workplace experience of our workforce. - Coordinate and support internal and external office events including training, company all hands, party events etc. - Cultural ambassador for Coupa Required: - Minimum 5 years of experience focusing on workplace operations, facilities management, or hospitality at a fast paced, high-growth environment. - Experience with high-growth companies with a global workforce. - Demonstrated experience managing facilities. - Associate degree required (Bachelor’s degree preferred). - Strong knowledge of Microsoft Office and/or G-suite. - Organized self starter, ability to work independently, driving projects and tasks to completion. - Unflappable under pressure to deliver tall orders on a tight timeline. - Understands the value and importance of serving as a cultural ambassador. - Highly effective judgment and interpersonal skills; and the ability to interface with all levels across the entire organization. - Attention to detail: you have immaculate attention to detail and ability to anticipate and address needs/issues before they occur. - Strong oral and written communication skills. - Positive, open, and flexible attitude. - Commitment to ongoing process improvement and developing standards. - Passionate about the employee experience and strives to innovate the future of the workplace. - Sense of humor!
