GENERAL STATEMENT OF DUTIES: To receive, ensure completeness of, and maintain files and computer database for all materials related to charitable gaming, including authorizations, denials, notices of compliance, fees of organizations applying for or renewing licenses; respond to information requests. To handle files and data for expungements, including reviewing motions, responding to attorneys, maintaining a database, and ensuring proper expungement of electronic and physical files. Perform office tasks for the Records Bureau, including correspondence, transcription, records checks, filing, dispositions, and records retention, while maintaining confidentiality. SUPERVISION RECEIVED: Works independently under general supervision; work is usually in final form but subject to review for conformance to laws, rules, regulations, policies, and procedures. SUPERVISION EXERCISED: Usually none. Illustrative Examples of Work Performed Maintain files and databases for charitable gaming and expungements, including reviewing applications, responding to inquiries, and ensuring proper documentation and expungement. Perform office tasks such as correspondence, transcription, records checks, filing, and record retention. Create, edit, and organize records and documents. Prepare and proofread correspondence, reports, and other materials. Locate and extract records, check for accuracy, and assemble documents. Manage scheduling and appointments for superiors and meetings. Maintain records of charitable gaming applications, approvals, denials, and financial reports. Review applications for completeness, communicate with applicants, and process application fees. Assist organizations with application procedures and compliance requirements. Distribute approval/denial letters and regulatory materials. Analyze gaming data and ensure compliance with state laws and regulations. Coordinate with the State Fire Marshal's Office and conduct background checks. Review legislation affecting charitable gaming and determine license eligibility. Operate office equipment and maintain records related to expungements, including using judicial portals and databases. Conduct queries, compile lists, and maintain expungement records. Transcribe reports and correspondence, research records, and establish office procedures. Manage files, supplies, and office equipment. Handle inquiries and complaints from the public, attorneys, and organizations. Maintain detailed financial statements and logs of authorized events. Open and date stamp incoming mail and perform related duties as required. Required Qualifications: Knowledge of laws pertaining to charitable gaming and expungements. Knowledge of office software, including Word, Excel, and judicial portals. Ability to interpret criminal court documents and transcribe from digital media. Understanding of office procedures, confidentiality, and financial handling. Excellent communication and relationship skills. Ability to prepare reports and maintain records accurately. Education: Graduation from high school, supplemented by courses in business practices. Experience: Significant experience in administrative roles with complex clerical duties and handling sensitive information; familiarity with criminal court documents preferred. Or an equivalent combination of education and experience.
