What You Will Do and How You Will Grow The Administrative Assistant plays a key role in supporting the daily administrative and coordination needs of Dalberg’s Management team in the Americas region. The role involves managing scheduling, travel, documentation, and various operational tasks for Partners and Associate Partners. The position is primarily remote, with periodic in-office presence in Bogotá, Colombia. Administrative Assistant - Specific Responsibilities Admin Support - Provide day-to-day administrative support to Partners - Tracking of contacts in CRM and supporting Partners with contact reminders Future responsibilities may include: - Document handling & email management - Preparing basic pre and post –meeting notes for client meetings, undertaking basic research as required, preparing power point slides, writing memos etc. Travel Booking - Coordinate domestic and international travel arrangements for partners a few times a year Data Entry - Upload project qualifications to internal systems (no content creation required) - Manage and track weekly timesheets for assigned Partners - Assist in the documentation process for performance reviews (no content creation required) Expense Reports - Tracking Expenses, managing invoices, preparing and submitting expenses reports Scheduling - Maintain updated calendars and support meeting logistics - Work with partners to review calendars each week avoiding any scheduling conflicts and preparing partners for what they need to prioritize. You are expected to work near our office and work 2-3 days/month in the office. Employment in Dalberg’s Bogotá office is contingent on the candidate having the requisite authorization to live and work in Colombia as well as possessing fluency in English and Spanish. Requirements: Typical qualifications for an Administrative Assistant: - Completed high school diploma (Bachiller) - 2–5 years of administrative or executive assistant experience - At least 1 year of experience in an English-speaking work environment - Fluency in English and Spanish (spoken and written) - Strong organizational skills and attention to detail - High level of discretion and professionalism - Ability to work independently in a remote setting across time zones (Eastern or Pacific) - Proficiency in Microsoft Office (Outlook, SharePoint, Teams) - Familiarity with Deltek or similar systems is a plus
