Role Overview We are seeking a highly organized, detail-oriented, and bilingual Administrative & Operations Assistant to support a dynamic and fast-paced business environment. The ideal candidate is self-motivated, tech-savvy, proactive, and comfortable managing both business and personal tasks. Schedule 9:00 AM to 5:00 PM EST (USA) Your Responsibilities Will Include but Are Not Limited To: Making and receiving professional calls as part of daily communication Managing a bilingual inbox and ensuring timely responses Following up with both clients and suppliers to keep everything on track Preparing quotes and maintaining organized, up-to-date records Providing reliable back-office support and occasional personal assistance Coordinating calendars and managing daily agendas Keeping documents updated, well-organized, and easy to access Tracking leads and ensuring no follow-up falls through the cracks Proactively informing the client of important needs, updates, or pending tasks Supporting a variety of administrative functions with precision and efficiency Assisting with online meetings and team communications What We’re Looking For: At least one year of experience in an administrative or personal assistance role. Strong written and verbal communication in both English and Spanish Proficiency with Gmail, Microsoft Office, and task management tools Experience using Microsoft Dynamics, RingCentral, and Zoom is a plus Excellent communication and interpersonal skills Tech-savvy and proficient with tools like Microsoft Word, Excel, Dynamics, and Adobe Acrobat Strong attention to detail and organizational abilities Independence and self-motivation The ability to take initiative and ask questions An excuse-free attitude and results-driven mindset A Goal-oriented and dependable individual He ability to handle sensitive information with discretion Own computer/laptop with headset and high-speed internet (10 Mbps down / 5 Mbps up) Quiet and private home workspace What's in It for You?
