At the core of our success is a lean, agile team, and we’re now looking for a highly organized and proactive Executive Assistant / Recruitment Operations Specialist to help us level up our internal processes and support the founder directly. This is a mission-critical, long-term role with huge growth potential for someone who’s eager to play a pivotal part in a high-impact recruiting business. About the Role As the Executive Assistant / Recruitment Operations Specialist, you’ll work side-by-side with our founder to streamline operations and make sure nothing slips through the cracks. From interview scheduling and candidate tracking to LinkedIn outreach and document management, you’ll wear many hats—all with a high degree of ownership and autonomy. Key Responsibilities ● Executive and Calendar Management: Coordinate the founder’s daily schedule, meetings, and candidate interviews across time zones. ● Interview and Candidate Coordination: Schedule interviews and maintain clear communication with candidates and clients. ● ATS and Database Management: Ensure candidate data is organized, clean, and up to date within our internal tools and trackers. ● LinkedIn Support: Assist with outreach, lead generation, and passive candidate engagement using LinkedIn Recruiter. ● Contract and Document Admin: Prepare, edit, and send contracts using platforms like DocuSign. ● Data Entry and Tracking: Maintain real-time accuracy across Google Sheets and other platforms. ● Process Optimization: Identify and improve workflows to increase efficiency and reduce friction in recruiting operations. ● Confidentiality: Handle sensitive information with care and discretion. What We’re Looking For ● 2+ years as an Executive Assistant, Recruitment Coordinator, or in a support/operations role ● Experience working in recruiting, staffing, or ATS platforms ● Proficiency in Google Sheets, LinkedIn Recruiter, DocuSign, and similar tools ● Excellent English communication skills—both written and verbal ● Ability to problem-solve independently, take initiative, and manage time well ● Strong attention to detail and ability to juggle multiple priorities ● Comfortable working in a fast-paced, remote environment ● Able to overlap with Eastern Time Zone (EST) Bonus Points If You Have ● Experience working with a remote founder or small team ● Familiarity with Canadian hiring or recruitment practices ● Background in supporting early-stage startups or recruitment agencies Why Join Us? ● Work closely with a founder who values autonomy and trust ● Be a key player in shaping the internal engine of a high-performing recruiting firm ● Long-term opportunity with room to grow as the company scales ● Flexible, fully remote setup with EST overlap ● Bi-weekly or monthly payment via international payroll platform
